Overview

Setting up your ArchGriffin-hosted email address in Microsoft Outlook lets you send and receive mail from your desktop without needing webmail. This guide covers the recommended IMAP setup for both Windows and macOS versions of Outlook.

Before You Start

Make sure you have the following ready:

  • Your full email address (e.g., [email protected])
  • Your email password (set in cPanel or provided to you)
  • Incoming/Outgoing mail server: mail.yourdomain.com
  • IMAP Port: 993 (SSL)
  • SMTP Port: 465 (SSL) or 587 (STARTTLS)

Setting Up Email in Outlook (Windows)

  1. Open Outlook and go to File > Account Settings > Account Settings.
  2. Click New under the Email tab.
  3. Select Manual setup or additional server types, then click Next.
  4. Choose IMAP and fill in the following:
  • Name: Your name (as you'd like it to appear)
  • Email Address: [email protected]
  • Incoming Mail Server: mail.yourdomain.com
  • Outgoing Mail Server (SMTP): mail.yourdomain.com
  • Username: Full email address
  • Password: Your email password
Click More Settings > Outgoing Server tab and enable My outgoing server (SMTP) requires authentication. Under the Advanced tab, set:
  • IMAP Port: 993 (SSL)
  • SMTP Port: 465 (SSL) or 587 (STARTTLS)
Click OK, then Next to test the account. If successful, click Finish.

Setting Up Email in Outlook (macOS)

  1. Open Outlook and go to Preferences > Accounts.
  2. Click the + button and select New Account.
  3. Enter your email address and click Continue.
  4. Choose IMAP as the account type.
  5. Enter the following details when prompted:
    • Username: Full email address
    • Password: Your email password
    • Incoming Server: mail.yourdomain.com (Port 993, SSL)
    • Outgoing Server: mail.yourdomain.com (Port 465 or 587, SSL/STARTTLS)
  6. Click Add Account and test sending/receiving email.

Common Errors and Fixes

  • Certificate warnings: Ensure you're using mail.yourdomain.com — not just yourdomain.com — for SSL compatibility.
  • Login failed: Double-check your full email address and password (case-sensitive).
  • Ports blocked: If you're on a restrictive WiFi network (e.g., hotel or school), try switching from port 465 to 587 with STARTTLS.
