Overview

When setting up your ArchGriffin-hosted email on a device, you’ll be asked to choose between POP3 and IMAP. This article explains the difference between the two protocols so you can select the one that best fits your needs.

What is IMAP?

IMAP (Internet Message Access Protocol) stores all email messages on the server and keeps them synchronized across all your devices.

IMAP is ideal if you:

  • Use multiple devices (e.g., phone, laptop, tablet) to check your email
  • Want your emails, folders, and read/unread status to stay in sync everywhere
  • Have a stable internet connection and don’t need offline access to all messages

Pros of IMAP:

  • Email is always synced between devices
  • No need to manually back up messages

Cons of IMAP:

  • Uses more disk space on the server
  • Emails aren’t accessible offline unless explicitly downloaded

What is POP3?

POP3 (Post Office Protocol version 3) downloads emails from the server to your device and then (by default) deletes them from the server.

POP3 is ideal if you:

  • Only use one device to check your email
  • Want to keep all email stored locally (e.g., on your computer)
  • Have limited server storage or intermittent internet access

Pros of POP3:

  • Emails are stored on your device and available offline
  • Frees up server storage quickly

Cons of POP3:

  • Email is not synced across devices — what’s read or deleted on one won’t reflect on others
  • Messages may be lost if your device fails or is not backed up

Which Should You Choose?
